Archiving all emails is not an option, as the law prescribes what kind of emails and for how long they should be…
You can archive Outlook emails and all old appointments and tasks automatically after a predefined period of time, but you can adjust the auto-archiving options if necessary. Outlook also offers the possibility to manually archive selected folders. Here’s how to do it.

The world belongs to the organized. If you use a Gmail account and hundreds of emails arrive in your inbox every week, keeping things in order can be a challenge – but it’s important. Keep in mind that when you archive an email in Gmail you only deprioritize it within your inbox, so the message is still available in your inbox. Something different is what happens when you decide to delete or mute it, which are other alternatives that allow you to sort your account.
Archiving is an excellent option when you are not sure you will need an email in the future. Basically, it’s like keeping it in a box until you decide to restore it. In fact, when someone replies to the conversation, it will automatically reappear in your inbox.
To archive one or more messages, you must open your inbox and select the emails with the checkboxes located on the left side. Then, you must press the Archive option, which is located on the Gmail toolbar.
Where to view archived emails

How to unarchive an email in gmail
If you need to search by keyword, it is much easier than you think. If you want to search for a specific word, you write it in quotation marks. This way, it will search for the phrase or words in their exact order and not others. If you do it without quotation marks, you may get other results that do not match what you need.
Once you have done this, just hit search and you will get all the emails that meet the conditions you have set. You can do your tests to see what comes up and which ones take up more space.
